Preparing an optical quote request

Bring the model, quantity and operating requirements into one clear request.

PHOSLENS selection notes · Updated 12 October 2026

A useful optical inquiry separates what is already defined from what still needs review. Send the model and quantity where known, describe the task and operating conditions, and identify any changes or unanswered questions. You can start a discussion without a complete design.

Choose the route that matches your information

A standard catalogue model
Find the exact model, review its expanded specifications and add the required quantity to the quote list. Models from different catalogue pages can be brought into one request in the same browser. This is an inquiry list; adding items does not place or pay for an order.
A drawing
Use the custom optics inquiry and describe the component, drawing revision and quantity. Submit the description first, then email the drawing with the inquiry reference. Identify critical requirements and any questions that need review.
A physical sample
Describe its function, available dimensions and the quantity needed. Explain whether you want reproduction or a modified version. Agree sample-shipping arrangements before sending it. Reproduction requirements and acceptance criteria need feasibility review; a sample alone does not establish a guaranteed result.
Parameters or a design task
State the optical function and the information available. Separate fixed requirements from preferences and open choices. If design support is needed, explain the intended result and constraints so that the scope can be discussed.

Prepare the details that affect the quotation

  • Identity and quantity: exact catalogue model or drawing reference, quantity per item, and whether the request concerns a prototype or repeat supply.
  • Geometry: diameter or rectangular dimensions, thickness, clear aperture, mounting space and required tolerances. State units. Use the parameter guide when checking catalogue labels.
  • Optical conditions: working wavelength or band, incidence angle, polarization and the function the component must perform. For spectral requirements, review the curve-reading checklist.
  • Material and coating: the requested designation or variant and whether alternatives may be proposed. Keep material substitutions subject to confirmation.
  • Acceptance and documentation: the characteristics that must be checked and any inspection records, drawings or other documents required.
  • Delivery context: destination, required date and relevant environmental or handling requirements. A requested date is a requirement to review, not a confirmed dispatch commitment.

Use a clear request structure

The following is a structure to complete with your own information, not a specification or quotation:

  • Reference: exact model, drawing revision or sample description.
  • Quantity: required quantity for each item.
  • Application: the function and operating conditions.
  • Required changes: geometry, material, coating or other differences from the reference.
  • Acceptance: critical requirements and documentation needed.
  • Open questions: information still to be agreed.
  • Delivery: destination and requested date.

For a modified catalogue component, make the change explicit rather than relying on the reference model alone. The listed catalogue price is not a quotation for the modification. If a value is undecided, identify it as undecided instead of presenting a placeholder as a final requirement.

Review the request, then agree the commercial details

  1. Check selected models, quantities, contact email and project description before submitting.
  2. Use the inquiry reference when sending drawings or following up by email. Keep revisions identifiable so the discussion refers to the same requirements.
  3. Confirm the proposed component and scope. Resolve substitutions, modified dimensions, coating conditions and acceptance requirements before accepting a quotation.
  4. Confirm freight, taxes, dispatch timing, quotation validity, payment terms and quality or after-sales arrangements in the individual quotation.

Quotations and ordering: common questions

Does adding a model place an order?

No. Adding models to the quote list or submitting an inquiry starts a quotation discussion. It does not place an order or make a payment. Review the proposed specifications and commercial terms before agreeing to proceed.

How are price and availability confirmed?

Identify the exact model, configuration and quantity in your request. A modified component needs a quotation for the modified specification. Ask us to confirm availability, unit prices and the total for the proposed supply; the catalogue does not establish a dispatch commitment.

What about shipping, taxes and lead time?

Include the destination country and delivery requirements. The individual quotation should identify the shipping method and cost, the delivery basis, responsibility for import duties and taxes, and the proposed dispatch timing. These details are confirmed for the particular request, rather than assumed from a catalogue price. Agree sample-shipping arrangements before sending a physical sample.

When are payment terms and quotation validity agreed?

Before accepting a quotation, check its currency, itemized total, payment method and schedule, and validity period. Resolve any missing information with PHOSLENS before proceeding. Use the quotation reference so both parties are discussing the same version.

How are quality issues and after-sales requests handled?

Agree the critical specifications, inspection criteria and required documentation before the order. Quality and after-sales arrangements, including how a nonconformity is reported and any applicable correction, replacement, return or refund conditions, are confirmed in the individual quotation. No fixed return period is stated by this guide.

If an issue arises, email phoslens@phoslens.com with the quotation or order reference, affected model and quantity, a description and relevant photographs or inspection information. Discuss the handling steps and return destination before sending goods back.
